KPI Process and Procedures
KPI Call format:
Mandatory Participants: Assigned Board Manager, Assigned Member of BizGro Accounting Department, BizGro VP of Operations or any other assigned Admin person, President (Portfolio C0), Head of Sales (Portfolio Co), VP of Operations (Portfolio Co), Controller (Portfolio Co)
Optional Participants: Founders with or without Stake, Borrowers with Stake, Capital Raisers with Stake
Guest Participants: Members of C Suite Team (BizGro), Any other Members of BizGro Team that gives outside Operational support i.e HR, Operational Efficiency, Strategic Planning, Digital Marketing, Sales Training
Note: All calls will be recorded digitally and will not have a formal agenda.
Length: 45 mins to 1 hour Once per week.
Standard KPI Call Agenda:
Overview: (Recommended time 15 mins) (Board Manager will ask the President to give the ownership group an overview of what has transpired during the week. The President will focus on 3 areas)
- Sales (New deals, transactions, opportunities that are imminent and potentially impactful)
- Operations (Productivity concerns, client service concerns, jobs in progress concerns, new equipment needs, space capacity needs)
- Finance/Admin (Cashflow large expense items upcoming, collections, billing)
Task Checklist: Board Manager will then turn his attention to BizGro VP of Operations who will go over Task Checklist with Executive Management Team. These items will include post transaction items, business plan follow through items, monthly visit schedule, and items needed to be produced by BizGro Accounting/Finance Team (Recommended Time 5 to 10 mins)
KPI Overview: (President, along with executive team will discuss all the detail in the KPI report for that week). There are times different members of the executive team will speak to the KPI categories that are related to their respective management responsibility. (Recommended time 15 to 20 mins)
Cash Variance Report: Controller with President’s assistance will go over and present Board Manager specific items in the Cash Variance Report (recommended time 10 mins)
Final Key Closing items: (Balance of time remaining): Total call should not exceed 1 hr.
